Who this is for

Span is a private tool used inside one company by the people who run it. It is not offered to the public and nobody outside the business can sign in to it.

What Google data Span uses, and why

Span asks for two permissions on one Google account, spanforge@gmail.com, which is the factory's own mailbox.

• gmail.readonly, to read messages and their attachments. Customers send their open order lists, delivery schedules, purchase orders and quality complaints by email. Span reads them so that the order book is built from what the customer actually sent, rather than from someone retyping it into a spreadsheet.
• gmail.send, to send replies from the same address. Nothing is ever sent automatically. A person reads every draft and approves it before it leaves.

Span does not delete, modify or label mail, and it does not read any other Google account.

Where it is kept

Message text and attachments are stored in a private Postgres database and file store hosted by Supabase in Mumbai, India, reachable only with the application's own credentials. Access inside the database is restricted per person by row level security.

Some message text is sent to Anthropic's API so that a purchase order in a PDF can be read into figures, and short voice recordings are sent to Deepgram to be transcribed. Both are processors acting on the company's instructions. Neither is used to train a model, and nothing goes to any other third party.

How long, and how to end it

Mail is kept while the business needs it for its order and dispatch records. The account holder can withdraw Span's access at any moment from the Google account permissions page, which stops all reading and sending immediately. To have the stored copy deleted as well, write to the address below and it will be removed.

Span's use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements. Span does not sell this data, does not use it for advertising, and does not let humans read it except the company's own staff acting on the business's behalf.
